Smartphone Application

    Before downloading the smartphone application, follow these steps:

    1. Make sure the employee has been added to your uAttend account.

    2. Give the employee a username and password by clicking the Users tab, then selecting the user’s name from the list. Scroll down to the Username/Password section and click the Edit link. Enter a username and password, then click Save.

    3. Click the Punch Management link.

    4. Scroll to the Smartphone Punch section and click the Edit link.

    - From the drop-down menu, select Yes to enable smartphone punching.

    - Select Global if the employee will be able to punch in from anywhere, or select whatever user-defined location(s) you have
    set up.

    5. Click Save.

     

    Downloading the Smartphone App

    To download the smartphone application, follow these steps:

    1. Download the application to your smartphone device from your phone's marketplace.

    2. Once the application has downloaded, enter your company ID. You can find your company ID at the top of any screen within your uAttend account.

    3. You will then be prompted to enter the username and password, then press Sign In.

    4. Once you sign in, you will be able to punch in and out using the application on your phone.

     

    Adding Geo-Locations

    If your employees will punch in using the smartphone application, you can add a geo-location to specify the radius within which the employees can punch in. This is an optional feature.

    To add a geo-location, follow these steps:

    1. Click the Settings tab from the main menu.

    2. Click the Punch Management link.

    3. Scroll down to the Geo-Locations section and click Add Geo-Locations.

    4. Enter a nickname and the full address of the geo-location.

    5. From the Punch Radius drop-down menu, select the distance from the address that employees will be allowed to punch in (e.g., Within 5 miles of this address).

    6. Click Add Location.

    This help article will guide an employee, supervisor or admin on how to login to the uAttend smartphone app.

    If this is for an employee, please refer to the following steps on setting up users for smartphone app punching.

     

    Logging In to the uAttend Smartphone App

    1. Upon opening the app for the first time you will be greeted by the uAttend logo.

    2. Next, you will be prompted to enter your 5 to 8-digit company ID. This ID can be found by signing in on the uAttend online portal and will be on the top right of the page after where your company name is displayed.

    a) Enter your company ID.

    b) Then press the next button.

    3. Now you should see your company name under your company’s logo (if uploaded to your account) or the uAttend logo if you do not have your own company image uploaded to your account.

    a) Enter the user’s username and password, both the username and password are case sensitive.

    i. If for any reason you have forgotten your username or password, you can retrieve your username or reset your password by pressing on the text labeled Forgot Username or Password? Located at the bottom of the screen.

    ii. Clicking on the picture of an eye to the left of the password input field will allow you view the password you have typed.

    iii. You can activate the feature to stay logged in by toggling the Keep me logged in switch to on. If you would not like the app to remember your username and password, you can keep the switch toggled to off.  

    b) Press the Login button.

    4. At this point you will see either the employee, supervisor or employee landing page, more information can be found on what that looks like can be found to referring to the landing page for different users’ articles.

    This article outlines what the landing pages look like for a user with the employee role and describes the information available on that page.

    Once logged in the employee will be presented with the screen below.

    User Profile

    The top left of the screen will display the logged-in employee's first and last name.

    User Status

    Below the name is the employee’s user status which shows the last punch status which will display one of the following statuses:

    · PUNCHED IN.

    · PUNCHED OUT.

    · ON LUNCH.

    · ON REST

    Punch Status Information

    Under the punch status is the punch status information which will display:

    · The last time the employee punched in.

    · The last date the employee punched in.

    · The department the employee last punched in to.

    Punch Section

    In the white box under the punch status information it will display:

    · The current time at the top of the white box.

    · The currently available punches, which is dependent on the last punch type.

    If the last punch was a Punch-Out it will display the Punch In button depicted in the image above.

    If the last punch was a Punch In then it will show the following punch options:

    · Punch-Out.

    · Start Break.

    · Start Lunch

    If the last punch was a Start Break Punch it will display the End Break button.

    Department Transfer Button

    If department transfers is enabled for that employee you can select a department by clicking on the blue circle at the bottom of the page labeled DT.

    Tab Menu Options

    On the bottom of the screen you will see 3 different menu tabs that the user can select:

    The Timecard Menu

    This option is only available if enabled under the user’s settings.

    · Instructions on enabling view timecard for employees.

    The Punch Menu

    This is the default screen the employee is presented with upon logging in. Under this menu tab the employee can:

    · Perform punches.

    · View the last punch information.

    · Perform a department transfer.

    The More Menu Option

    This will display a sidebar that will allow the employee to log out from the account.

    This section will provide detailed information and steps on performing the various types of punches.

    Please note: This option is only available for the employee role.  If a supervisor or admin needs access to this function an additional employee role must be created for that supervisor or admin.

    Punching In

    To punch in the user will:

    1. Press and hold the Punch In button for at least 2 seconds. Once the colored bar around the punch button creates a complete circle.

    a. The instructions on punching into another department if department transfer is enabled can be found by clicking here.

     

    2. The employee will receive a notification that they have been punched in. It will display:

    · The punch type made by the user.

    · The time and date of the punch.

    · The department that the employee punched into.

    3. At this point, the employee can add a note to their punch by clicking the Add Notes button.

    a. To add a note simply click on the Add Notes button.

    b. The user will be presented with a screen where they can enter a note for that punch.

    c. Once the user has entered his note, he can add it by clicking the Send button on the bottom right of the text entry screen.

    d. The user will see a notification under the department showing the message Note Added to Time Card.

    4. You can dismiss this screen by clicking the X on the top right of the screen.

    Punching Out for a Break

    This option will only be available after the employee has punched in. If an employee is punched in the employee will be presented with this screen.

    To Punch-Out for a break the user will:

    1. Press and hold the Start Break button for at least 2 seconds. Once the colored bar around the punch button creates a complete circle.

    2. The user will be presented with a notification screen that the break was started. It will display[FA3] :

    · The punch type made by the user.

    · The time and date the break was started.

    · The department the employee has punched in on.

    3. At this point, the employee can add a note to their punch by clicking the Add Notes button.

    a. To add a note simply click on the Add Notes button.

    b. The user will be presented with a screen where they can enter a note for that punch.

    c. Once the user has entered his note, he can add it by clicking the Send button on the bottom right of the text entry screen.

    d. The user will see a notification under the department showing the message Note Added to Time Card.

    4. You can dismiss this screen by clicking the X on the top right of the screen.

     

    Punching in from a Break

    These steps will walk the user through punching back in from a break. The user will be presented with this screen when punched out for a break as well as the elapsed time of the break.

    To punch back in from a break the user will:

    1. Press and hold the End Break button for at least 2 seconds. Once the colored bar around the punch button creates a complete circle.

    2. The user will be presented with a notification screen that the break has ended. It will display[FA4] :

    · The punch type made by the user.

    · The time and date the break was ended.

    · The department the employee has punched in on.

    3. At this point, the employee can add a note to their punch by clicking the Add Notes button.

    a. To add a note simply click on the Add Notes button.

    b. The user will be presented with a screen where they can enter a note for that punch.

    d. The user will see a notification under the department showing the message Note Added to Time Card.

    4. You can dismiss this screen by clicking the X on the top right of the screen.

    Punching out for a Lunch

    This option will only be available after the employee has punched in. If an employee is punched in the employee will be presented with this screen.

    To punch out for a Lunch the user will:

    1. The user will press and hold the Start Lunch button for at least 2 seconds. Once the colored bar around the punch button creates a complete circle.

    2. The user will be presented with a notification screen that the Lunch was started. It will display[FA5] :

    · The punch type made by the user.

    · The time and date the lunch started.

    · The department the employee is punched in on.

    3. At this point, the employee can add a note to their punch by clicking the Add Notes button.

    a. To add a note simply click on the Add Notes button.

    b. The user will be presented with a screen where they can enter a note for that punch.

    d. The user will see a notification under the department showing the message Note Added to Time Card.

    Punching in from a Lunch

    These steps will walk the user through punching back in from a Lunch. The user will be presented with this screen when punched out for lunch.

    To punch back in from a lunch the user will:

    1. Press and hold the End Break button for at least 2 seconds. Once the colored bar around the punch button creates a complete circle.

    2. The user will be presented with a notification screen that the lunch has ended. It will display[FA6] :

    · The punch type made by the user.

    · The time and date the lunch ended.

    · The department the employee is punched in on.

    3. At this point, the employee can add a note to their punch by clicking the Add Notes button.

    a. To add a note simply click on the Add Notes button.

    b. The user will be presented with a screen where they can enter a note for that punch.

    c. Once the user has entered his note, he can add it by clicking the Send button on the bottom right of the text entry screen.

    d. The user will see a notification under the department showing the message Note Added to Time Card.

    4. You can dismiss this screen by clicking the X on the top right of the screen.

    Punching Out

    These steps will walk the user through punching out for the day. The user will be presented with this screen when punched in.

    To punch out for the day the user will:

    1. Press and hold the Punch-Out button for at least 2 seconds. Once the colored bar around the punch button creates a complete circle.

    2. The user will be presented with a notification screen that the user has punched out. It will display[FA7] :

    · The punch type made by the user.

    · The time and date the lunch ended.

    · The department the employee is punched in on.

    3. At this point, the employee can add a note to their punch by clicking the Add Notes button.

    a. To add a note simply click on the Add Notes button.

    b. The user will be presented with a screen where they can enter a note for that punch.

    c. Once the user has entered his note, he can add it by clicking the Send button on the bottom right of the text entry screen.

    d. The user will see a notification under the department showing the message Note Added to Time Card.

    4. The user will also have the option to view their timecard by clicking on the button labeled View Time Card.

    5. You can dismiss this screen by clicking the X on the top right of the screen.

     

    Punching Restrictions

    This section will explain some of the restrictions that are attached to punching in.

    Top of Minute Lockout

    There is a default 1-minute lockout after every punch to prevent any accidental double punches by the user, this option cannot be changed. If the user tries any type of punch within the 1-minute lockout period after performing any previous kind of punch, the user will be presented with this notification.

    This notification screen will display the time they are able to punch-in or punch-out and can be dismissed by clicking the X to the top right of the screen.

    Lockouts

    If enabled and a user is trying to punch in or punch out during the lockout time.

    The user will be presented with this notification.

    This notification screen will display the time they are able to punch-in or punch-out and can be dismissed by clicking the X to the top right of the screen.

    Geo-Location Restrictions

    If enabled and a user is trying to punch in or punch out from a location outside of the assigned geo-locations.

    The user will be presented with this notification.

    This notification screen will display the time they are able to punch-in or punch-out and can be dismissed by clicking the X to the top right of the screen.

    This help article will walk a user through performing a punch to another department. The user has the ability to change the initial department they will punch in for the day or switch departments while already punched into a department (Note: Switching departments while already punched into a department will punch the employee out of the previous department and start a new punch with the current department.)

    · This option must be enabled at the user level. More information on how to enable this can be found by clicking here.

    Please note: This option is only available for the employee role, if a supervisor or admin needs access to this function an additional employee role must be created for that supervisor or admin.

    Punching into a Different Department for an Initial Punch In

    Upon logging in the user will be presented with the option to Punch In.

    To perform a department, transfer before punching in for the day the user will:

    1. Click on the small blue circle labeled DT.

    2. The user will be presented with a list of available departments to choose from.

    3. At this point, the user can select a department from the list or search for the department by clicking on the magnifying glass and entering the department's name.

    4. Once the correct department is selected the user will press the Transfer button on the bottom of the page.

    5. The user will see a confirmation screen with:

    · The punch status.

    · The time and date they punched.

    · The department they punched into.

    · A symbol with two arrows crossing over each other to indicate a department transfer was made for this punch.

    6. At this point, the employee can add a note to their punch by clicking the Add Notes button.

    a. To add a note simply click on the Add Notes button.

    b. The user will be presented with a screen where they can enter a note for that punch.

    c. Once the user has entered his note, he can add it by clicking the Send button on the bottom right of the text entry screen.

    d. The user will see a notification under the department showing the message Note Added to Time Card.

    7. You can dismiss this screen by clicking the X on the top right of the screen.

     

    Punching into a Different Department While Already Punched into a Department

    The user can also switch departments without having to punch out form their previous department.

    Upon logging in the user will be presented with this screen.

    To perform a department, transfer after punching in for the day the user will:

    7. This will punch the employee out of the department they initially punched into and start a new punch into the department they have currently selected.

    8. You can dismiss this screen by clicking the X on the top right of the screen.

    This article outlines how to edit timecards on the admin and supervisor level.

    1. Click on the tab menu item labeled Time Cards with an icon of a calendar. This can be found on the bottom left of your screen. Once this tab is selected you will be presented with this screen.

    a. Select the pay-period you would like to edit a timecard for by clicking on the calendar icon on the top right of the screen.

    b. If you would like to sort employees by name or department click on the appropriate box at the top.

    c. To search for an employee, click the magnifying glass on the top right when the View by Employee button is selected.

    d. To search by department, click the magnifying glass on the top right when the View by Department button is selected/highlighted.

    2. Click on the employee’s name that you would like to edit the timecard for. After selecting the employee's name you will be presented with the screen below.

    a. You can also change the employee you would like to edit the timecard for by clicking on the current employee’s name.

    b. You can also search by clicking the search bar to the right of the magnifying glass and typing in the employee’s name.

    3. Select the correct pay period you would like to edit the timecard for by clicking the date under the Pay Period. If the correct pay-period was not selected in step 1a.

    4. Select the correct day you would like to edit the timecard for by clicking on the day.

    5. Click the pencil in the blue circle at the bottom of the screen to edit the punch for that day.

    You will be presented with this screen once clicking on the edit button:

    a. If this is for an existing in/out punch, you will not be able to edit the punch type. Otherwise, click on the field labeled type and select the punch type, then press Ok.

    b. To edit the department, click on the department name and select the correct department.

    i. This option is only available if department transfer is enabled for that employee, for steps on activating that feature click here.

    c. To edit an in or out punch click on the time and select the correct time and date for that punch for the in-punch, out-punch or both, then press Ok.

    d. To add a note to that punch, click on the entry field to the right of where it says add note.

    e. To add a missing punch for that day, click on the + sign with the blue circle around it at the bottom of the screen.

    f. At this point, you will want to follow steps 5a to 5d for each additional punch added.

    g. Once complete click save to save the changes or Cancel to cancel the operation.

    In this article, we will learn about adding Tips and Expenses using the uAttend application.

    Note: The account administrator will need to have these features enabled to use them on the uAttend application.

    To add an Expense, you will first need to select the Time Card section, then select a date and the Expense tab.

    This page will display any current Expenses, as well as any notes that were added to the expense.

    1. Tap on the pencil icon to add an expense.

    The next page will display a list of authorized expense codes created by the account administrator.

    1. Select the appropriate expense, then tap Next.

    2. Enter the amount for the expense.

    You will then see a confirmation message with the option to add a note to your expense. Tap on add note to leave a note with your submission.

    To add Tips, select the Tip option at the top of the screen.

    This page will display any current Tips, as well as any notes that were added to the Tip.

    1. Tap on the pencil icon to add a tip.

    The next page will prompt you for the tip amount. Enter the appropriate amount and select Next.

    You will then see a confirmation message with the option to add a note to your Tip. Tap on add note to leave a note with your submission.

    You can also add Tips and Expenses by selecting the calendar icon on the Time Card section.

    Once you select the calendar icon, you can select either Add Tip or Add Expense, then select the day you would like them to be applied.

    In this article, we will learn about navigating the Timecard section of the uAttend Application.  

    Note: You will need to have smartphone punching enabled, as well as a username and password created for your employees to access their profiles using the uAttend app. Click here to check out that help file. 

     

    Select Time Card to be brought to the timecard page. 

    Here you will see the total hours worked for the current pay period, as well as any VAC, SIC, or HOL time applied. Your total hours are displayed on the right, and the breakdown of where these hours fall by pay code is displayed on the left. You can select the pay period range you wish to view by tapping on the dates at the top of the screen.  

    Note: You will only see a gross pay amount if the employee has a rate set in their profile. Check out this article here for more information on setting a rate for your employees.  

    In this section, there are three categories: Department, Date, and Accrual.

    Date 

    In the date section, you can select a date to see your exact punch times and what type of punches were made. For example, you will see your IN/OUT times, as well as any breaks or lunch periods taken for the day selected. Any notes made on your punches will also be displayed under the punch time.  

    This section is also where you can list any applicable tips or expenses. Check out these articles for assistance with setting up Tips and Expenses

    Department 

    If you work in multiple departments, the Department section will display your hours worked in each department.  Click here to check out the help file on department transfers. 

    Note: All department rules are always applied from the employee’s home department.

    Accrual 

    The Accrual section will display any time that falls under the pay code SIC, VAC, or OTH for the date range selected. You will see the total amount Accrued, the amount used in this period, as well as your current available balance.  Click here to check out the help file on setting up benefit accruals.

    The Group Punch option allows administrators and supervisors to easily add punches for an employee or a group of employees without having to navigate to the employee's timecard. Administrators will be able to add a manual punch for all employees.  Supervisors will only be able to add group punches for the employees in their responsible departments.  

    1. To perform a group punch, select the More tab.  

    2. Select Group Punch.

    3. Select the employees you wish to include in the punch, then tap Next.  You can filter your selection by department by selecting the department icon at the top right-hand corner of the screen.

    4. Select the Date of the Group Punch then tap Next. Group Punches can be made in Real and Variable time.

    5. Select the time of the Group Punch, then tap Next

    The next page will show you a summary with a list of employees included in the Group Punch with the date and time listed at the top of the screen.

    Once you have confirmed the Group Punch information is correct, tap the Punch button to complete the punch.

    Once you log into the uAttend mobile application as the account administrator, you will be brought to the Punch Status page.  

    Here you will see a summary of current employees who are clocked in, on break/lunch, out, or that have missing punches.

    You can tap the selections at the top to filter the punches by type. For example, here we have selected Lunch, so we are shown a list of employees who are currently clocked out for their lunch period.

    You can also sort this list of employees by Name or Department by selecting the option at the top-right of the screen. Tap the appropriate Sort By option, then select which departments you would like to view. Once you have completed your selection, tap the Apply button.

    Note: The admin can configure the account for timecard approvals in the web portal.  Click here to check out the help file on that. 

    1. To approve your timecard, you will first need to select the Time Card tab at the bottom of the application screen.

    2. Next, select Approve Time Card.

    3. Review your timecard information for the current pay period, then tap Approve at the bottom of the page.

    Lastly, you will receive confirmation that your Timecard has been approved.

    Note: Once your timecard has been approved, you will have the option to select UnApprove. Once a timecard has been approved, it must be UnApproved before making any additional changes to your timecard.  

     

    Emailing Timecards 

    1. To email your timecard, you will first need to select the Time Card tab at the bottom of the application screen.

    1. Next, select Email Time Card

    1. Tap the + button, then enter an email address to send your timecard to or select a previous email from the list. 

    Note: You can send to your timecard to multiple email addresses at a time.

    1. Once you have selected the appropriate email address, select Send Time Card.   

    You will then be prompted to add a message to your timecard email. (Optional) 

    Finally, you will receive a message confirming your timecard has been sent.

    In this article, we will learn about submitting a Time Off Request while logged in to the uAttend application.  

    Note: Time Off Requests must be enabled by the account administrator to use this feature. Click here to check out that help file.  

    To submit a Time Off Request, tap More at the bottom of the uAttend app screen, then select Time Off.

    This will bring you to the Overview page, which will show you any Upcoming Time Off you currently have submitted, as well as any pending requests. The three types of Time Off you can request are VAC, SIC, and OTH.

    You can also view your Time Off Request history by selecting the History tab at the top of the screen.  

    This page will show you any previously fulfilled Time Off Requests separated by type.  

    Here you can review the dates of your previous requests, the number of hours requested, as well as the status of your requests.

    You can also filter your previous requests by Year, Type, and Status by tapping the filter icon in the top right-hand corner of the screen.

    1. To create a new request, Select the Request Time Off button at the bottom of the screen.  

    2. Select the date range you would like to take time off.

    3. Select the appropriate time off type.

    On the next page, you will be prompted to confirm the daily hour amount for each day requested.

    4. Once you have reviewed the hourly information and confirmed that the total hour amount of the request is correct, tap the Submit button at the bottom of the screen. 

    The next page will display a confirmation and display a summary of the information submitted.
