Time Cards

    Time Cards are  To view and/or edit a time card, follow these steps:

    1. Click Time Cards from the main menu.

    2. Select an employee from the list. 

    The employee's timecard for the current pay period will display.

    3. Clicking on the Pay Period field at the top of the screen opens a calendar and list of pay periods to choose from. Selecting a pay period and clicking Apply will display the time card for the selected pay period.

    4.To add a punch, click the add punch button (+) to the right of the appropriate date. Fill in the time the employee punched in and if they have, the time they punched out. Click the checkmark button to submit the punch or X button to cancel.

    5. To edit a punch, hover over the Punch In or Punch Out time and click on the edit button. Click on the Punch Type, Punch In, Punch Out, Department, or Notes field to edit. Click on the check mark button to submit the punch or the trashcan button to delete the punch.

    Bulk Time Card Download

    You now have the ability to perform a bulk download of your employees’ time cards. This feature is incredibly helpful if you need to retain hard copies of these records for any reason, or if you need to obtain physical approval signatures each pay period. To perform a bulk download of all time cards for a pay period, follow these steps:

    1. Click Time Cards from the main menu.

    2. Click the Export button located on the top of Time Cards menu.

    All employee’s time card for the selected pay period will download.

    Individual Time Cards

    When viewing an individual time card, clicking the export button located on the top right of the time card will download a .pdf of the employee's time card for the currently selected pay period. To export a time card, follow these steps:

    1. Click Time Cards from the main menu.

    2. Select an employee from the list. 

    The employee's timecard for the current pay period will display.

    3. Click the export button at the top right of the time card.

    Banking a Holiday is a feature that will allow you to remove the scheduled Holiday from a certain day on a time card to be added on a different day. This feature can be used for employees who work on scheduled Holidays but still have the ability to observe the Holiday on a different day. To Bank a Holiday, please follow these steps:

    1. Click Time Cards from the dashboard menu.

    2. Select a user with an active holiday on their time card.Holiday_Hours_1.png

    3. Hover over the holiday and select the Edit tool. Once in Edit view, delete the holiday from the time card.

    4. Select the Plus Sign on the day that you want to re-add the Holiday too. Under Punch Type, select Holiday, then select from the list of available Holidays.

    5. After choosing the holiday to add, save the changes by selecting the checkmark.

    The service provided for emailing time cards are based upon your role in the system.  Employees can send their own time cards to any email address, while supervisors and administrators can email time cards to individual and multiple employees, supervisors, administrators and other email addresses that may not be linked to a user profile.

    For employees who wish to send their own time card to a particular recipient:

    1. From the Time Card landing page, choose the desired pay period and click the Email button.

    2. The Email Time Card drop-down is displayed.

    3. Enter the recipients email address, and click Send

    For supervisors and administrators who wish to send one or more time cards to one or more recipient:

    1. From the Time Card landing page, choose the desired pay period and click the Email button to launch the email wizard.

    3. Choose how you would like to select the time cards to send:
      Department - All employees in one or more departments. The pay period displayed on the Time Cards page is set by default. However, from the departments page, you can choose a different pay period by clicking the Pay Period forward and back arrows. Choose All Departments or click the departments name to select an individual department.
      Email_Timecard_5.pngSaved Group - All employees in a group you previously had saved at the end of this wizard.  The pay period displayed on the Time Cards page is set by default. However, from the saved groups page, you can choose a different pay period by clicking the Pay Period forward and back arrows. Choose a saved group or remove a saved group.
      Email_Timecard_6.pngIndividual - Select one or more employees by name. The pay period displayed on the Time Cards page is set by default. However, from the select individual recipients page, you can choose a different pay period by clicking the Pay Period forward and back arrows. Search for employees by last name or department name, and filter the employee list by department.

    4. After selecting the time cards you wish to send, click Next to choose one or more recipients who should receive the time cards:
      Administrator - Administrators will receive all the time cards in your selection.
      Supervisors - Supervisors will only receive the time cards of employees within their department(s).
      Employee -  Employees will only receive their time card.
      Other Recipients - Other recipients may include your payroll service, accountant, etc. Click Next to continue

    5.  You will be prompted to supply email address for email recipients who's email address is missing.  Once the email address is entered, the user's profile will be updated and you will not be asked to supply the email address again. You can choose not to supply an email address at this time, however, the recipient will not be sent a time card.

    6. The final step provides the ability to review and change your previous choices. Click Send when finished.

    7. Before exiting the wizard, you are prompted to decide whether you would like to save the group for future time card emails. Click Yes to name and save the group, click No to return to the time cards page.

    8. If you have decided to save the group, the following page is displayed.

      Enter the name you wish to identify the saved group and click Save.  Otherwise, click Cancel to go back to the previous page.  
      Note:  The time cards have been sent. Choosing Cancel at this point, cancels only the save group option.
